What is Personal Data?

Personal data includes any information that can be linked to an individual. Common examples are social security numbers, names, addresses, and email addresses. Even a photo can be considered personal data. Processing personal data encompasses almost anything you can do with the data, such as reading, collecting, recording, storing, merging, or printing.

The rules for data protection are outlined in the EU’s General Data Protection Regulation (GDPR), along with additional provisions from Swedish laws that complement these rules.

How We Process Your Personal Data

We process personal data for various reasons, including:

  • To fulfill our duties as a public authority.
  • To comply with legal requirements, such as providing documentation for invoices and fulfilling obligations under accounting laws.
  • When we have an agreement with you, for example, if you subscribe to our newsletter or have agreed to receive information from us in other ways.
  • When responding to inquiries you send to us.
  • When you apply for a job with us and we handle your application.
  • When You Apply for a Library Card with Us.
  • To provide information about your loans, notify you when reserved materials are ready for pickup, or inform you when your loans are overdue.
  • When we collect, curate, and preserve materials, making them accessible to the public.
  • When we process our materials scientifically and document our culture for future generations.

How Your Personal Data is Stored

The Music and Theatre Library is a part of Statens musikverk – National Collections of Music, Theatre and Dance. As a public authority, we are required to save all public documents, including those you send to us or that we create and store. This applies, for instance, when you send us emails.

Public authorities must retain public documents according to archival laws. We determine which documents to keep or discard based on these laws, and we retain personal data in these documents for as long as the law requires. Personal data not included in public documents is kept only as long as necessary for its intended purpose.

Who Has Access to Your Data?

Anyone can request access to public documents. If someone requests access to these documents, we may be required to release them unless they are protected by confidentiality. This means that personal data in public documents can be disclosed according to the principle of public access to information.

In certain cases, we may need to transfer personal data to parties outside the EU to fulfill our duties.

We do not share, sell, or trade your personal data with companies for marketing purposes.

Your Rights to Correct or Delete Personal Data

You have the right to:

  • Correct inaccurate data.
  • Complete incomplete personal data under certain conditions.
  • Request a restriction on our processing of your personal data under certain conditions.

You may also request the deletion of your personal data. However, we are not obligated to delete personal data that we process to fulfill a legal obligation, perform a task in the public interest, as part of our official authority, or for archival purposes. This means that the possibilities for data deletion are limited.

You can request corrections and deletions via email. Please specify which personal data is concerned and in what context it appears. If requesting a correction, also indicate how the data should be corrected.

Swedish Authority for Privacy Protection

You can also contact the Swedish Authority for Privacy Protection’s (IMY) if you wish to file a complaint about our processing of your personal data. IMY is the supervisory authority responsible for ensuring compliance with GDPR.

Statens musikverk (organization number 202100-3666) is responsible for ensuring that the personal data submitted to us is processed correctly. Our Data Protection Officer ensures that we comply with the GDPR and other data protection laws and serves as the contact person for questions about personal data.
